Alacer Sales Manager: the key features

Enquiry Management

Enquiry Management
  • Quickly log enquiries by type. Each site can set up its own enquiry types specific to the typical business carried out e.g. weddings, meetings or lunches. The enquiries can then be viewed by type, making following up enquiries easier as team members responsible for weddings can view only weddings.
  • Contact logging. Users can add multiple contacts to an enquiry. Contact types and notes can be added to the contacts enabling users to record key details about guests. The lead contact for an enquiry can be selected by users and will be clearly highlighted.
  • Enquiries can be logged against a person, company, agent or combination of the three. This takes full advantage of the single database model as details that are already in the system can be accessed quickly. New contact details added to the system from an enquiry will also be available in the rest of the system.
  • Automatically generated correspondence. Set up bespoke correspondence letters with merge fields that will be picked up directly from the enquiry form. These letters can then be printed or emailed directly from the system.
  • Task management. Users can add date-triggered tasks for themselves or other team members. These can act as reminders to call contacts on specified dates, send out documents etc.
  • Record won and lost enquiries, and the reasons for lost enquiries.

Company and agent management

  • View and maintain a centralised company/agent database. The company and agent database that is used in the rest of the system is automatically accessible in Sales Manager. This makes recording an enquiry for a company or agent very fast. On the flipside of this, if a company/agent is enquiring about the business for the first time the sales team can add the company/agency profile to the system. This can then be easily accessed by the other teams in the hotel.
  • Record the details of company/agent contacts. Add notes to the contact profiles. Hold valuable information about company contacts such as preferences, ideal contact times, allergies etc.
  • View company spend and usage trend records. View for each company/agent the number of bed nights sold for each month and the net revenue received. Easy to read displays and charts.

My Tasks (Task management)

My Tasks
  • Tasks set against individual users will display in their 'My tasks' section of Sales Manager. Sales Manager checks which user is logged in, and displays only that user's tasks.
  • Users can view their tasks by priority, type or date.
  • Tasks are colour coded for immediate recognition and prioritisation. Red tasks are overdue, purple tasks are due for completion today and black tasks are not yet due.
